1. Parties and Scope

These Terms and Conditions (“Terms”) apply to all transactions made via avide.dk.

Avide is a non-profit association. All transactions made via the website relate either to membership fees (membership) or donations for the association’s activities.

User: The person (“you”, “the user”) making a transaction as a private individual (i.e., not as a business).

By completing a transaction, you accept these Terms.

2. Products and Prices

We offer the following:

As a non-profit association, Avide is not VAT-registered for membership fees and donations. All prices are in Danish Kroner (DKK).

2.1 Membership Levels

2.2 @avide.dk account and Microsoft 365 licences

The membership fee is a contribution to the Association’s shared activities, administration and digital infrastructure. It is not payment for an account or a licence, and membership by itself does not create a right to a Microsoft 365 licence.

The Association’s @avide.dk accounts and Microsoft 365 licences come from Microsoft’s nonprofit programme, and are therefore assigned according to the role a person actually holds:

• staff of the Association and members of the Executive Board;
• members who have taken on a volunteer task for the Association, for example helping with events and webinars, communications, mentoring other members, or working in a committee.

Where an account is assigned, the following applies: it is assigned because the person needs it for the Association’s work; the account and licence are owned and administered by the Association; the account is used for the Association’s activities; the account is withdrawn when the volunteer work or the need for it ends; the Association makes no per-licence charge and does not resell or rent licences.

A sponsor is a different organisation, and nonprofit licences may not be shared, transferred, rented or resold to another organisation. A sponsorship therefore does not include an @avide.dk account or a Microsoft 365 licence. An employee of a sponsor who takes on volunteer work for the Association is treated like any other volunteer under the rules above.

A member without such a role remains a member at any level, but is not assigned an @avide.dk account. The Executive Board may withdraw an account when the conditions above are no longer met; the membership fee is not refunded on that ground, because the fee is not payment for the account.

2.3 Sponsorships

Companies and organizations can support Avide as a sponsor:

Sponsorship agreements are made directly with the association — contact [email protected].

2.4 Donations

Voluntary donations for Avide’s purpose and activities. The amount is freely determined by the donor.

2.5 Event and course tickets

AVIDE runs paid events and courses. Member and non-member prices are shown on each event’s page; any discount codes are applied at checkout. Some courses require a minimum number of participants; the conditions for carrying a registration over to the next run, or refunding it, when the minimum is not reached are displayed and must be confirmed directly in the registration form. When registering you may voluntarily add an extra support amount for the association; that amount is a donation (section 2.4) and is recorded separately from the participation fee.

3. Payment

• Payment is charged upon completion of the transaction.
• You will receive a confirmation by email immediately after payment.
• All card payments are encrypted. Avide does not store card information.

Online payments on the website are processed via Vipps MobilePay and Nets (Visa, Mastercard, Dankort, and Apple Pay where offered). AVIDE never stores your card details; card data is handled by the payment provider.

3.1 Recurring payments (MobilePay Recurring)

For membership fee payments via MobilePay, MobilePay Recurring (recurring payments) is used. This means:

• You approve an agreement for automatic collection in the MobilePay app.
• Membership fees are automatically charged upon renewal (typically annually).
• You can cancel the agreement at any time directly in the MobilePay app under Agreements or by contacting us at [email protected].
• Avide does not store card information — all payment processing occurs via MobilePay’s secure infrastructure.

By signing up for MobilePay Recurring, you also accept MobilePay’s terms for recurring payments.

4. Delivery

Membership: Activated immediately upon receipt of payment. Confirmation sent by email.

Donation: Processed immediately. Receipt sent by email.

5. Right of Withdrawal

5.1 Membership Fee Payment

In accordance with the Danish Consumer Contracts Act, as a consumer, you have the right to withdraw from your membership fee payment within 14 days from the payment date.

You may use the standard withdrawal form in Appendix A, but it is not required.

Refund will be made via the same payment method no later than 14 days after receipt of your notification.

5.2 Donations

Voluntary donations are generally not covered by the right of withdrawal, as they do not constitute a commercial purchase. Contact us at [email protected] if you believe an error has occurred.

5.3 Event and course tickets

Under the Danish Consumer Contracts Act (forbrugeraftaleloven, section 18(2)(12)), the 14-day right of withdrawal does not apply to leisure activities, events, and courses held on a specific date or within a specific period. Paid tickets are therefore in principle non-refundable, except in the following cases: (1) the association cancels the event: the full participation fee is refunded; (2) a course does not reach its minimum participation: the registration is carried over to the next run or refunded, per the conditions you confirmed at registration; (3) unpaid registrations are cancelled automatically after 7 days with no obligations. Refunds are made via the original payment method.

5.4 Extra support given at registration

A voluntary extra support amount added when registering for an event is a donation and follows section 5.2 (Donations). If the association cancels the event, the extra support is refunded together with the participation fee, unless you let the association keep it as a donation.

6. Termination and Withdrawal of Membership

Any member has the right to withdraw from the association at any time, cf. the association’s bylaws, Article 7 (§ 7, para. 5).

6.1 How to Terminate Your Membership

Send a written notification to:

State your full name and the email address you are registered with. Termination will be confirmed by email within 5 business days.

6.2 Notice Period for Termination

• Termination can occur at any time without notice.
• Membership ceases at the end of the current paid membership period (typically 1 year).
• Membership fees for already paid periods will not be refunded, unless the right of withdrawal applies (see §5.1).

6.3 Stopping Recurring Payments (MobilePay Recurring)

Hif you pay via MobilePay Recurring, you must cancel the payment agreement separately:

1. Open the MobilePay app → Agreements → find Avide’s agreement → cancel it.
2. Or contact us at [email protected] — we will cancel the agreement on your behalf.

Cancellation of the payment agreement stops all future charges. Note that canceling the payment agreement does not automatically constitute a formal termination of membership (see §6.1).

9. Disclaimer of Liability

Avide is a non-profit association and limits its liability in accordance with Danish law. We are not liable for indirect losses, unless caused by gross negligence. These limitations do not affect your statutory rights as a consumer.

10. Governing Law and Jurisdiction

These Terms are governed by Danish law. Disputes shall be settled by the Danish courts. Consumers residing in other EU/EEA countries retain mandatory consumer protection rights according to the law of their country of residence.

11. Changes to the Terms

The current version is always available at avide.dk/handelsbetingelser. In case of significant changes, registered members will be notified by email. Changes do not have retroactive effect for transactions already completed.
